Twelve colleagues, an empty vessel, three days

Day 1: the team meets at Komodo Airport or at its hotel in Labuan Bajo between 09:00 and 09:30 and boards at the harbour between 10:00 and 11:00. Kelor's short hill is a good first test of the group, 15 to 30 minutes and steep. A snorkel at Manjarite follows, and the day ends at Kalong with the bats watched from the boat.

Day 2 is the long one. Padar at first light is optional, and the team can split: those who climb leave the boat about 65 minutes before sunrise, and the rest sleep. Pink Beach and a ranger-led walk on Komodo Island fill the rest of the day.

Day 3 is Kanawa and the harbour at about 12:00, so the team can fly after 15:00. A longer offsite is a 4D3N charter at IDR 105,000,000 (≈ USD 6,442), which adds Sebayur and the beach dinner.

The dining lounge and the open social deck are the working spaces. The brochure does not list a screen, a projector or a meeting room, and local Wi-Fi is reported with no promise of speed. A working session on board or ashore is arranged on request and quoted.

Rooming a team: six cabins, twelve berths

Gammara has 6 cabins for 12 guests. Each cabin holds 2, and each has a single bed, a king or a double. Twin beds are not listed. For twelve colleagues that means six shared beds, and the team should know it before it books.

If sharing a bed does not suit the team, the whole boat still takes six people, one to a cabin. The price band then drops to 1 to 6 guests.

Jasmine and Lily on the upper deck have king beds and ocean views, and they suit the senior pair. Four Deluxe cabins below have double beds and private bathrooms. Every cabin has air conditioning and a hot and cold shower. Decide the pairs early, and send us the list when you pay the deposit.

One invoice, twelve shares

The price for twelve, written out. The whole boat for 7 to 12 guests costs IDR 78,000,000 (≈ USD 4,785) for 3D2N, so twelve colleagues pay IDR 6,500,000 (≈ USD 399) each. A 4D3N offsite costs IDR 105,000,000 (≈ USD 6,442), or IDR 8,750,000 (≈ USD 537) each, and includes the beach dinner.

There is one invoice for the whole boat, issued through us. How the company divides it among departments or people is the company's own business. Ask us for the invoice details you need before you pay.

Outside the figure sit park tickets, quoted as a package per guest with your trip, plus a guide, documentation, drinks, flights and hotels. Twelve is the ceiling. A larger team needs a second boat. Checked on 3 November 2026.

Deadlines the company must meet

A deposit of 50 percent holds the date. The balance is due 30 days before sailing. Passport or ID details are due seven days before, for the park and the harbour, and a late list can delay the boarding.

Changes follow the same calendar. Rescheduling is free at 30 days or more, and costs IDR 500,000 at 14 to 29 days. Inside 14 days it is treated as a cancellation. A cancellation at 60 days or more refunds 50 percent, at 30 to 59 days it refunds 25 percent, and inside 30 days there is no refund.

If the boat cannot sail before your date, we offer a replacement: an equal or higher class phinisi on the same date at no extra charge, or a full refund. The refund is normally transferred within 2 x 24 hours once the conditions are met. We confirm in writing first. Weather on the day is handled case by case, in writing.

Documents finance will ask for

The invoice comes from PT Komodo Explorer Indonesia, NIB 1805260128363, and VAT of 11 percent is included. Your finance team can check the company number before any money moves. We also send the booking confirmation, the payment receipt and the names of the guests on the manifest.

Payment can go by card payment link, PayPal, Wise, Revolut, QRIS or bank transfer. The card link costs 3 percent, and PayPal costs 7.2 percent, so bank transfer is cheaper for a company of this size. Settle the fee question before you pay, not after.

Travel insurance is recommended for each guest, and the company should check its own policy. Guide and documentation are not part of a private charter. They are on request and quoted separately, as is anything else the offsite needs.

Booking an offsite from first email to boarding

Write to us on WhatsApp or by form with the dates, the headcount and the trip length. We reply with a written quote, and we say whether the boat is free on your dates. If you are still choosing between 3D2N and 4D3N, send both and we quote both.

From there, the steps are few and ordered. Pay the deposit. Send the guest list and the cabin pairs. Receive the pickup time in writing. Pay the balance. Board. Each step is confirmed by message, so finance, the assistant who books flights and the team lead all see the same thread.

The pickup in Labuan Bajo is included, and for twelve people a larger vehicle is quoted on request. The captain sets the stops on the day, so the agenda for the offsite should leave a margin for tide and weather.

FAQ

What happens to the offsite if the boat cannot sail on our date?

We offer an equal or higher class phinisi on the same date at no extra charge, or a full refund if you decline it, normally transferred within 2 x 24 hours once the conditions are met. Written confirmation comes first. Weather once at sea is different: the captain changes the stops, and we settle any question in writing.

Where would the team hold its sessions on board?

The brochure does not list a screen, a projector or a meeting room. The dining lounge has large windows, the social deck is open, and a working session can be arranged on request and quoted. Local Wi-Fi is reported, the signal depends on where the boat is, and we promise no speed.

Can the company pay once and receive one invoice?

The whole-boat price is one figure, so there is one invoice, issued through PT Komodo Explorer Indonesia, NIB 1805260128363. The deposit is 50 percent and the balance is due 30 days before sailing. Payment channels and their fees are listed before you pay, so finance can choose the cheapest.
